It is a detailed breakdown of the employee's gross earnings, all applicable deductions, and the resulting net pay that is actually deposited into their bank account. Under Indian labour law, all employers are legally required to maintain payroll records, and while not every state mandates a written payslip, most formal employment contracts include monthly payslip issuance as a standard obligation.

Common payslip components explained

Understanding each line item helps employees plan taxes and helps HR avoid errors. Here's a plain-language guide to the most common components:

Earnings
Basic Salary

The fixed base component of your CTC, typically 40–50% of gross. All statutory calculations (EPF, gratuity) are based on basic.

House Rent Allowance (HRA)

An allowance to cover accommodation costs. Employees living in rented housing can claim HRA exemption under Section 10(13A) of the Income Tax Act — the exemption amount depends on actual rent paid and the city.

Dearness Allowance (DA)

A cost-of-living adjustment, typically paid in government and PSU jobs. DA is fully taxable.

Conveyance Allowance

Paid toward commuting costs. Up to ₹1,600/month was tax-exempt prior to 2018; post-2018, the Standard Deduction replaced it.

Special Allowance

A residual component that makes up the difference between CTC and the sum of named allowances. Fully taxable; no specific exemption available.

Medical Allowance

Paid toward healthcare expenses. Now merged into the Standard Deduction (₹50,000/year) since FY 2018-19.

Deductions
Provident Fund (EPF)

12% of Basic is contributed by the employee; matched by the employer. Contributions to EPF are tax-deductible under Section 80C (up to ₹1.5 lakh/year).

Tax Deducted at Source (TDS)

Income tax deducted monthly by the employer on behalf of the government. The amount varies by the employee's total annual income and tax regime (old vs. new).

Professional Tax (PT)

A state-level tax levied in Maharashtra, Karnataka, and a few other states. Maximum ₹2,500/year; exact amount depends on salary slab and state.

Health Insurance

Premium deducted for group health insurance provided by the employer. Premiums paid by the employer are not part of the employee's taxable income.

Labour Welfare Fund (LWF)

A small statutory deduction (typically ₹6–₹36 depending on state) collected twice a year toward welfare programs for workers.

Loan / Advance Deductions

Repayments for salary advances or employee loans taken from the company. These are voluntary and agreed upon in writing.

Understanding salary deductions in India

A quick reference for the most common statutory and voluntary deductions on an Indian payslip.

EPF — Employee Provident Fund

Governed by the Employees' Provident Funds & Miscellaneous Provisions Act, 1952. Applicable to organisations with 20+ employees. Both employee and employer contribute 12% of basic + DA each month. Employee's share is deductible under Section 80C (up to ₹1.5 lakh). The accumulated corpus earns a government-declared interest rate (8.25% for FY 2024-25) and is generally tax-free on withdrawal after 5 years of continuous service.

HRA Exemption — How Much Can You Claim?

The HRA exemption (Section 10(13A)) is the lower of: (a) Actual HRA received; (b) 50% of basic salary for metro cities (Delhi, Mumbai, Chennai, Kolkata) or 40% for others; (c) Actual rent paid minus 10% of basic salary. To claim, you need rent receipts and the landlord's PAN if annual rent exceeds ₹1 lakh. Only available under the Old Tax Regime — not applicable if you opt for the New Regime.

TDS on Salary — Old Regime vs New Regime

From FY 2023-24, the New Tax Regime is the default. Under the New Regime: slabs start at ₹3 lakh (0% tax), ₹3–7 lakh (5%), ₹7–10 lakh (10%), and so on; the Standard Deduction of ₹75,000 is available. Under the Old Regime, you keep all your exemptions (HRA, 80C, 80D) but face less favourable slabs above ₹10 lakh. Your TDS is calculated at the start of the year based on the regime you declare to your employer on Form 12BB.

Professional Tax — State-wise Rates

Professional Tax is levied by state governments under Article 276 of the Constitution, capped at ₹2,500/year nationally. It is mandatory in Maharashtra (max ₹2,500), Karnataka (max ₹2,400), West Bengal, Gujarat, and Andhra Pradesh, among others. States like Delhi, Haryana, Rajasthan, and Uttar Pradesh do not levy Professional Tax. The employer deducts PT from the employee's salary and remits it to the state government monthly or quarterly.

HRA
